Position Summary
Athens Administrators has an immediate need for an Auto Claims Examiner Trainees to support our Property & Casualty department. Employees who live less than 26 miles from the Concord, CA, Orange, CA, San Antonio, TX, or Lake Mary, FL offices are required to work once a week in the office. The remaining days can be worked remotely if technical requirements are met, and the employee resides in a state Athens operates in (includes CA, CT, FL, GA, ID, IL, MA, NY, NC, NJ, OH, OK, OR, PA, SC, TN, TX, and WV). Athens Program Insurance Services is the centerpiece of P&C claims administration in the specialty programs marketplace. We are totally unique in that we focus only on commercial business specialization across multiple coverage lines. Athens offices are open for business Monday-Friday from 7:30 a.m. to 5:30 p.m. local time. The schedule for this position is Monday through Friday at 37.5 hours per week.
The Auto Examiner Trainee will be trained to be responsible for the timely investigation, timely determination of coverage and liability, evaluation and determination of settlement negotiations and resolution strategy, handling of total loss steps including title and vehicle procurement, salvage handling, and closing all aspects of the physical damage claim or denial of minor to moderate auto claims. They will handle claims from inception to transfer or closure.
Primary Responsibilities
Our new hire should have the skills, ability, and judgment to perform the following essential job duties and responsibilities with or without reasonable accommodation. Additional duties may be assigned:
Incumbent will learn to perform the following duties and will gain the skills, ability and judgement to perform these duties with minimal supervision after a training period of approximately three to six months. The trainee is expected to become proficient in handling Commercial Auto Physical Damage claims after a maximum of six months. If all Principal Duties and Responsibilities, along with the Essential Job Requirements, are met and the trainee’s skillset in all items is at an appropriate level, it is anticipated the trainee will transition into a Claims Examiner Level 1 position within twelve months of hire.
- Attend and successfully complete the Best Foot 4ward Auto Claims Examiner trainee immersion and/or 12-course training program sponsored and paid for by Athens. The program will provide essential training to build knowledge of the insurance industry, including but not limited to review of commercial auto policies, coverage analysis, proactive claims handling, damage assessment, reserve analysis and evaluation, fundamentals of communication (writing, email, documentation), resolution analysis and claim handling practices
- Sit for an exam to obtain licensing from your domiciled (state you live in or designated home state) state and a minimum of one license in any of the following states: NY, TX or FL within 180 days of hire. Additional State Adjuster License(s) may be required within the following 180 days
- During the course of classroom training, participate in a program of in-person or virtual training sessions focusing on systems (SIMS), processing, performance, production and best practices modeled to service clients and achieve maximum output and quality service
- Handle incoming telephone calls, respond to voicemail, emails and written communication as outlined in Athens’ Claims Handling Standards
- Adjust new claims in compliance with State and policy requirements
- Verify coverage and applicable deductible amount prior to issuance of payment to 1st (insured) or 3rd parties
- Perform thorough investigation through statements, diagrams and photos, police reports, and other critical evidence to determine causation and liability
- Assign and coordinate use of vendors to appraise, collect estimates, address storage and salvage handling, communicate next steps including payment handling, and close claims promptly upon damages being verified.
- Knowledge and ability to process, log, track, evaluate, coordinate and resolve total losses on personal auto, stated value policies, commercial auto, heavy equipment commercial vehicles/trucks and classic cars in conjunction with state required forms and documents.
- Process state appropriate forms or registration entries for total losses and salvage through the title procurement process
- Update information on the computer, i.e. coding and compliance applicable to state and federal insurance authorities such as NICB, NMVTIS, ISO or others
- Contact insureds and claimants and/or their legal representative, for information pertaining to vehicle damage and settlement
- Facilitate information and communicate between clients, claimants, insureds, brokers, inspectors, agent producers and account managers.
- Provide exemplary customer service and support to all clients.
- Issue liability denial letters, when appropriate
- Secure required W-9 forms from service providers as needed
- Process checks, stop payments, and void checks as needed
- Identify potential fraud “red flags” and report to SIU vendor partner as needed
- Attend meetings and educational seminars for professional development.

- High School Diploma or equivalent (GED) required for all positions
- AA/AS or BA/BS preferred but not required
- Complete all licensing requirements within 180 days and complete continuing education requirements in all states.
- Maintain licenses and continuing education requirements in all states
- Able to effectively communicate and collaborate with various points of contact.
- Well-developed verbal and written communication skills with strong attention to detail
- Excellent organizational skills and ability to multi-task
- Ability to type quickly, accurately and for prolonged periods
- Proficient in Microsoft Office Suite
- Ability to learn additional computer programs
- Reasoning ability, including problem-solving and analytical skills, i.e., proven ability to research and analyze facts, identify issues, and make appropriate recommendations and solutions for resolution
- Ability to be trustworthy, dependable, and team-oriented for fellow employees and the organization
- Seeks to include innovative strategies and methods to provide a high level of commitment to service and results
